Welcome to the 2002-2003 Polio Eradication Fundraising Campaign team!  You play a key position on a team of more than 33,000 Rotarians who have accepted a special assignment in Rotary year 2002-2003:  to raise $80 million needed for vaccine and its delivery to children, money that will help Rotary fulfill its promise of achieving a polio-free world by our 100th anniversary in 2005. 

District Polio Eradication Fundraising Committee Chairs and Area Coordinators are the leaders who will carry the Campaign message to each of the 30,000 Rotary clubs.  Cash and pledges made during the period 1 July 2002 to 30 June 2003 will count toward the Campaign goals established by each Rotary club. 

These guidelines briefly describe your role in the Polio Eradication Fundraising Campaign (PEFC), the timetable for this one-year campaign, and the support materials available to help you succeed.

Role of the District PEFC Chair 

Appointed by the 2002-03 District Governor, the District PEFC Chair  

1)     leads the team of Area Coordinators and helps to facilitate their work;

2)     informs the district governor and other district leaders about PEFC activities and progress through reports and consultation;

3)     counsels district leadership on district Campaign targets (if established), makes PEFC presentations at district meetings, coordinates district PEFC-related events as requested, and serves as information source on the polio eradication program and PEFC;

4)       maintains frequent contact with Area Coordinators to compile and forward reports to the district governor and to national leaders on PEFC Club Commitments, fundraising activities, and special PEFC-related events;

5)       assists in cultivating and soliciting Major Gift donors and prospects

 

Role of the PEFC Area Coordinator 

Appointed by the 2002-2003 District Governor to lead the Polio Eradication Fundraising Campaign for an assigned group of clubs, the Area Coordinator (AC) is the key person who conveys to Rotarians the importance, and urgency, of Rotary¡¦s program to eradicate polio.  Among those who will hear the AC¡¦s presentation are thousands of men and women who have joined Rotary since the PolioPlus Campaign of 1986-1988.  This Campaign offers these newer Rotarians an opportunity to contribute financially, and thus to help write the final chapter in Rotary¡¦s number one priority program.  Their support is essential. 

The Area Coordinator--

1)     presents a program about the PEFC to each of his or her assigned clubs early in the Rotary year;

2)     shares ideas and provides counsel to club leadership about the establishment of a Club Commitment, or goal, to be achieved by cash and/or pledges from Rotarians and other sources including assistance from Interact and Rotaract, corporate support, and community fundraisers;

3)     maintains frequent contact with Rotary Club PEFC chairs and serves as an information source on the polio eradication program and the PEFC;

4)     gathers and reports on a timely basis to District PEFC Chair on club goals and related events.

5)     assists in cultivating and soliciting Major Gift donors and prospects.

Publications and Other Support Materials

  1. ¡§Fulfilling Our Promise: Eradicate Polio.¡¨  16-cell PowerPoint presentation on status, progress, and financial requirements of the polio eradication initiative, and general description of the Polio Eradication Fundraising Campaign.  Available now on www.Rotary.org under The Rotary Foundation¡XPolioPlus. 
  2. Polio Eradication Campaign Club SUCCESS Kit.  Contains individual brochures with donation/pledge cards, club PEFC Commitment Form, and suggestions for the club PEFC chair. These Kits will be provided in bulk to each District PEFC chair for distribution to Area Coordinators, who will review contents with the club PEFC chair during his visit to the club.  Available on or before 1 July.
  3. Video: ¡§Fulfilling Our Promise: Eradicate Polio.¡¨  This 6-minute video is designed for use by the Area Coordinator as part of presentations about the PEFC to clubs. One copy will be provided to each District PEFC Chair and Area Coordinator.  Available on or before 1 July.
  4. Area Coordinator¡¦s Guidelines for Club PEFC Presentation.  Provides suggested talking points for use by the Area Coordinator in making a PEFC presentation to the Rotary Club.  Available on or before 1 July.
  5. PEFC Newsletter.  A two-page Campaign Newletter distributed to leaders at district, national, and international levels.  Publication begins June 2002 on a monthly basis.
  6. Other:  Articles in The Rotarian magazine, Rotary regional magazines, the News Basket, Rotary World,  www.Rotary.org Web site, provide general information.
  7. Frequently Asked Questions.  A compilation of commonly asked questions about the Polio Eradication Fundraising Campaign and the global polio eradication initiative. Available now on Rotary Web site.

Getting Started

 

In preparation for making presentations to the assigned Rotary clubs, Area Coordinators between now and 1 July 2002 are requested to:

¡P        Schedule a visit to assigned clubs to present a program and meet with club leaders

¡P        Obtain from District PEFC Chair a copy of PEFC Club SUCCESS Kit for each assigned club

¡P        Prepare a program presentation to deliver to assigned Rotary clubs

¡P        Prepare for meeting with board of directors and club PEFC chair to discuss Club Commitment (goal), fundraising ideas, and potential Major Gift donors.

 

Rotary Club Establishment of Polio Eradication Fundraising Campaign Goal

 

The Area Coordinator can provide counsel and other information useful to the Rotary Club¡¦s process of establishing a Club Commitment, or goal.    Offer to review the worksheet (see below) with the Rotary club leadership. Be sensitive, however, that the club may wish to discuss its goal in private without the AC¡¦s presence.   When established, the Club Commitment should be recorded on the Club Commitment Form (included in Club SUCCESS Kit) and reported to you.  In some clubs, the process of establishing the club goal may be completed during your visit.  For other clubs, it will require additional time.  Urge that the club establish its goal as early in the Rotary year as possible.

Rotary Club Commitment Worksheet 

The Polio Eradication Fundraising Campaign has a goal of US$80 million in cash and/or pledges committed during the period 1 July 2002 through 30 June 2003.  The support of all Rotarians, and each club, is essential to success.  The funds are vitally needed to buy and deliver polio vaccine to children during the final years leading to a polio-free world.  In establishing its goal, each Rotary club should review various sources of financial support.  The following checklist is a guide to this process.
